Guidelines For Events

PURPOSE:

From time to time, individuals and organizations may wish to undertake fundraising events to benefit Cruz Roja Delegacion Lago de Chapala (Cruz Roja). Cruz Roja fully recognizes and appreciates the important contribution of such events, both in terms of revenue and of heightened public awareness for Cruz Roja.

These guidelines are designed to ensure that:

  1. Communitiy Partners Program (CPP) events are financially viable initiatives.
  2. CPP event organizers and Cruz Roja understand and agree their respective roles in the planning and conduct of the events.
  3. CPP events will enhance the relationship between Cruz Roja and the community
  4. Funds generated by the events will be disbursed in a manner that reflects any restrictions on their use imposed by donors or contributors, as well as Cruz Roja’s needs and its obligation to be accountable to its donors and supporters.

 

DEFINITION:

A CPP event is an activity designed to raise funds for the support of the services provided by Cruz Roja. It has the following characteristics:

  1. The event is publicly represented as an activity to raise funds for Cruz Roja services.
  2. The primary responsibility for organizing and conducting the event rests with the persons or organizations concerned and not with the Cruz Roja International Volunteers (CRIV).

 

CPP events include, but are not limited to, the following: fashion shows, concerts, competitions or recreational activities in which the organizers solicit pledges for Cruz Roja, dinners, BBQs, bake sales, car washes, auctions and such other events as may be approved by the CRIV Board of Directors (the Board) in the manner described below.


APPROVAL OF CPP EVENTS:

  1. Before a CPP event is held and before steps are taken to announce publicly that such an event will be held, the organizers must secure the approval of the Board.
  2. To do so, the organizers must provide the Board with an outline of the event, which should include, as far as possible, the following information:
    1. A description of the proposed event, including the date, location, expected number of participants, expected number of volunteers to be involved in organizing and conducting the event, and the plan for recruiting them.
    2. An estimate of the proceeds from the event to be donated to Cruz Roja.
    3. Any particular service provided by Cruz Roja to which the organizers wish to have the proceeds directed.
    4. The contact person who will serve as the liaison between the organizers and the Board.
  1. The information will be reviewed by the Board to take into account:
    1. The benefits that the event will afford Cruz Roja, including the financial and public relations benefits
    2. The demand, if any, that the event will place upon the resources of Cruz Roja and/or CRIV.
  2. Based on this review, the Board will decide whether to approve the event, and will advise the organizers of the event accordingly.

CONDUCT OF APPROVED EVENTS:

When a CPP event has been approved by the Board, the organizers must advise the Board:

  1. Whether they wish to use Cruz Roja’s name and logo in connection with the event.
  2. Whether they wish Cruz Roja to assist with publicizing the event.
  3. Of the wording to be used in any printed material or publicity regarding the use of the funds to be generated by the event.

DONATION OF FUNDS FROM CPP EVENTS:

Within one month of holding the event, the organizers will advise the Board of the amount of the funds generated by the event. The organizers and the Board will agree on the arrangements, including the appropriate publicity, for the funds to be handed over the Cruz Roja and for the organizers and volunteers to be thanked for staging the event.
